In support of its mission, Clarksburg Sports Association (CSA) strives to provide its services to the community in a manner that is safe for everyone.  In support of its dedication to this objective, CSA utilizes reasonable resources to ensure that its volunteers pose no threat to its program participants.

The purpose of this policy is to outline the steps and resources that are employed to reasonably ensure that CSA’s volunteers pose no threat to program participants.

General Policy

  • CSA will utilize commercially available background checking services on all volunteers working with juveniles participating in CSA-sponsored events.
  • All volunteers must submit their information to the CSA-provided background checking service prior to working directly with juveniles.  It is the responsibility of the volunteers to provide the background checking service with all necessary information.  It is the responsibility of the volunteers to provide the background checking service with accurate information.
  • Volunteers may not work with juveniles unless they have passed the background check.
  • CSA will determine volunteer eligibility largely based on the background check results delivered to Board of Directors by the background checking service.
  • The CSA Board of Directors will make the results of the background check available to the individual volunteer, if requested.
  • Volunteers who believe that their background check results are inaccurate, may work with the sport commissioner to request follow up by the CSA Board of Directors.  CSA will further investigate the possibility of inaccurate results for purposes of fairness to the volunteer.   However, if further adjudication does not result in the clear resolution of the issue, CSA will base its decision on the best interests and safety of the juveniles participating in CSA-sponsored events. Decisions will be made no later than one week after the request to the CSA Board of Directors.

Procedure Summary

  • CSA Board of Directors and the sport commissioner provide the volunteer with access to the background check service.  It is recommended that this is done at least one month before the activity is scheduled to begin.

  • Volunteer submits the information to the service.

  • Background checking service returns results to the CSA Board of Directors.

  • The CSA Board of Directors notifies the sport commissioner of its decision on the volunteer.  It is recommended that this is done no later than one week after the background service returns its results.

  • In the event that the sport commissioner and volunteer wish to challenge the results of the check, they will provide a written notification to the CSA Board of Directors within one week of receiving the original results.  This response will include specific details that the board can use to conclude the investigation.
